Privacy Notice

ReclaimMyFlight is a trading style of Reclaims4U Ltd, a company registered in England and Wales, company number 06651869, registered office 1.02b Boatshed, Office Village, Unit 12 Exchange Quay, Salford, M5 3EQ. We are the data controller for the personal data we process to run your flight compensation claim. This notice explains what we collect, why, who we share it with, and your rights. What we collect and where it comes from

When you sign our Terms of Business and Letter of Authority through the ClaimsAssist website, ClaimsAssist passes your claim to us. This includes your name, date of birth, contact details and address; your flight and booking details and what you told us about the disruption; the bank account details you provided for your payout; your signed documents; and a record of your signature including the date, time, the IP address used and the document versions you signed, which we keep as evidence of your agreement. During your claim we also collect what you tell us in our questionnaire, documents you upload such as boarding passes and receipts, and correspondence about your claim.

Why we process it

We process your data to perform our contract with you: assessing your claim, submitting it to the airline, escalating it to dispute resolution bodies and regulators, receiving your compensation and paying you. We process signature records and claim histories under our legitimate interests in evidencing agreements, preventing fraud and defending legal claims, and we retain records to comply with legal obligations including tax law. We do not sell your data and we will not send you marketing without your consent.

Who we share it with

Your data is shared with the airline your claim is against and, where escalated, the relevant dispute resolution scheme, regulator or enforcement body. If court action is appropriate and you consent, it is shared with the solicitor we refer you to. We use service providers to operate our systems, including secure hosting, database and email delivery providers, who act on our instructions. Where a provider processes data outside the UK, we ensure appropriate safeguards such as UK adequacy or standard contractual clauses are in place. Your bank details are encrypted in our systems and never appear in emails.

How long we keep it

We keep claim records for 6 years after your claim closes, reflecting limitation periods for legal claims and our record keeping obligations. Bank details are retained only as long as needed to make your payment and evidence it, then deleted from live systems.

Your rights

You have the right to access your data, to correct it, to ask us to delete it where we no longer need it, to restrict or object to processing, and to receive a copy in a portable format. To exercise any right, contact complaints@reclaimmyflight.com. We will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk, though we would welcome the chance to resolve it first.

The ClaimsAssist website

The ClaimsAssist website that introduced your claim to us is operated by Claims Assist Limited, which is a separate data controller for the data it collects before your claim is passed to us. Its own privacy policy applies to your use of that website.
